8. Sharing Inspections with 3rd Party Users
When conducting inspections using Visualogyx, you have the ability to share the inspection with external users who are outside of your organization. This allows you to easily collaborate with stakeholders, clients, contractors or other relevant parties.
1. Create a new inspection or open an existing inspection from the inspections tab. Once you are in the inspection, you must initialize it by clicking on at least one field. This will activate the "Share" option.
2. Click the "Share" button in the upper right corner of the screen. This will open the sharing interface.
3. Enter the email address of the external user you wish to share the inspection with in the "Enter email address" field.
4. Specify the user's Role:
- Select "Collaborator" if you want to allow the user to add or alter inspection data.
- Select "Viewer" if you only want the user to be able to view the inspection without modifying it.
- Select "Assignee" if you would like to assign the inspection to an external user. When assigning an inspection to an external user, both you and the assignee will receive email notifications pertaining to the inspection.
5. If desired, check the box for "Allow invitee to reshare inspection". This will permit the external user to share the inspection link with additional people.
6. When you have finished configuring the external user's access, click the "Send Invite" button.
- The external user will receive an email inviting them to view the shared inspection. They can now access it once they are logged onto Visualogyx.
By sharing inspections with external users, you can improve communication, transparency and efficiency when conducting inspections. The flexibility to add collaborators, viewers or assignees as needed keeps everyone informed while maintaining control over the inspection process.
